Direct-to-School Distribution: The Case for Ditching the Two-Vendor Model

If you've run a statewide adoption before, you already know the mechanics, phased releases, hundreds of ship-to addresses, and allocations that keep shifting until weeks before your implementation date. What doesn't get talked about enough is how much of the risk in that process isn't manufacturing risk at all. It's handoff risk: the gap between your printer and whoever is running fulfillment.

Why Split Vendors Create Risk in Direct-to-School Programs

Splitting print and fulfillment across two vendors means every piece of project data: ship-to files, quantity allocations, and delivery windows, has to travel between two systems that don't share a source of truth. When a ship-to file changes three weeks out, and it always does, that update has to move from your desk to the printer, then to the fulfillment provider, cleanly, every single time.

This is the single most common source of exceptions on multi-vendor adoptions: not bad data, but good data that didn't make it everywhere it needed to be, in time. A campus was renamed after consolidation. A receiving contact who changed. A quantity revised after enrollment numbers came in. District receiving calendars, teacher workdays, and back-to-school windows leave little margin, and none of them move to accommodate a supply chain problem. Hitting them consistently depends on production, warehousing, and transportation being planned as one continuous schedule and not a print schedule that gets handed to a separate fulfillment schedule with its own capacity constraints and its own cutoffs.
